What is interlibrary loan?
When you need a book, article, video, or some other item that the O'Grady Library does not have, you can ask us to find another library that owns it and to borrow it for you. The process through which libraries lend materials to each other is called interlibrary loan (ILL).
What is ILLiad?
ILLiad is the electronic system you use to request an item through interlibrary Loan. The name ILLiad can be thought of as an acronym for InterLibrary Loan internet accessible database.
How is ILLiad better than traditional ILL systems?
- Rather than filling out a paper form with your personal information each time you make a request, ILLiad uses the information entered during your initial registration. This saves you time and enables us to process your requests faster.
- Also, all of your interlibrary loan information is available to you on the web. You can view the status of your requests and make changes to your personal information at any time from any location. You can check due dates, make renewal requests, track the progress of your requests, and edit or cancel your "Awaiting Processing" requests.
- Articles are often available through Electronic Delivery as PDFs, eliminating the need to pick them up at the circulation desk. You will be able to view articles from your computer and print them out. See ILLiad Electronic Delivery to learn more.
- Finally, library staff are able to serve you better because all data about your request and its handling is stored in a searchable database. We are able to respond quickly to your inquiries about your request. We are also able to gather statistical information about the performance of the libraries that lend to us, enabling us to make better decisions when choosing a lender to supply an item.
What may I request?
Any item can be requested though interlibrary loan using the appropriate online form. However, the following kinds of material may be difficult to obtain: videos, audio recordings, dissertations, reference works (dictionaries, atlases, encyclopedias, etc.), and books published in the last few months. ILL staff will make every attempt to fill all requests. You will be notified as soon as possible if the requested items are not available.
How long does it take to obtain material through interlibrary loan?
Although turn around time can vary widely, the standard for receiving material is:
- Books and other loans: 10-15 days
- Articles: 5-10 days
What if I forget my password?
In the event that you forget your password, please contact the Circulation staff at (360) 486-8802 or circulation@stmartin.edu. We can then reset your password allowing you access to ILLiad. (You will be asked for your Saint Martin's ID number.) Please change your password once you logon to ILLiad.
What web browser should I use?
You need a web browser that can handle forms, tables, and preferrably Cascading Style Sheets (CSS). We recommend the current versions of either Microsoft Internet Explorer or Mozilla Firefox.
Is security a problem if I use a public workstation?
Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser's Back button to recall a page from the cache, or by finding a page with your personal information in the browser's history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps:
- Access ILLiad from your personal computer or an otherwise secure workstation.
- Access ILLiad from a workstation in the O'Grady Library Information Commons or Saint Martin's Computer Resource Center. Log in using your Saint Martin's network account and be sure to log off when you are done.
When using a public access workstation:
- Delete from the history file those pages that contain your personal information.
- Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.
- (This is not necessary if you are using an O'Grady Library or other Saint Martin's computer that requires you to logon and log off--as long as you remember to log off.)
Why does my browser say that you're sending a cookie? What's in it?
The technology that we use sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use ILLiad without any problems.
Why don't I see all my older requests when I look at my request history?
From time to time we purge older records from ILLiad. Our policy is to keep requests online for several years order to comply with record keeping requirements of the copyright law.
What is electronic delivery?
Many libraries send scanned copies of articles to us in electronic format. Through ILLiad, we are able to offer you the option of electronic delivery of these articles in PDF format (Adobe's Portable Document Format). You can read more about electronic delivery on the Electronic Delivery Information page.
